Title:  Executive Assistant - Operations

Reports to:  EVP – Chief Operations Officer

 

Job Summary

The Executive Assistant is responsible for broad range of support activities including helping our Operations team members be more effective. This may include meeting notes, scheduling, setting up meetings and preparing agendas, developing memos, spreadsheets and reports, assistance with special projects and other duties as assigned. 

 

Essential Job Functions

  • Support our Chief Operations Officer in all administrative duties including answering phones, maintaining schedule, arranging meetings, taking minutes, making travel arrangements and helping with various projects and operation team initiatives as needed.
  • Provide support to other members of the Operations team as needed.   
  • Create and edit correspondence and reports using MS Word, Excel, Salesforce and other software programs.
  • Coordinate meetings, new hire logistics, and supply ordering as needed.
  • Set up and maintain hard copy and electronic files as needed.
  • May review, print out, and/or respond to emails as directed.
  • Maintain great relationships with other business units and 3rd party vendors.
  • Create and edit memos, spreadsheets, reports, and org charts using MS Word & Excel; create PowerPoint presentations.
  • Utilize and run reports from software tools such as Salesforce and Microsoft Dynamix (AX).
  • Will work on special projects as assigned and perform other strategic office assignments as directed.

Position requires a minimum of 3-5 plus years in an administrative support role displaying high trustworthiness, integrity, strong work ethic and responsiveness.   Must be skilled in multitasking, note taking and organization skills with the ability to proactively find ways to make things better and more efficient.  The ideal candidate must possess strong attention to detail, follow through, professionalism and business judgment.  Requires excellent computer/technology skills and must be exceptional with MS Office and a quick learning of various software platforms such as Salesforce and Microsoft Dynamix.  Position requires exceptional people skills including written and verbal communication skills.
