Title: Event Coordinator

Reports to:

 

Job Summary

The role of the Event Intern is to coordinate and execute the production of the Franklin Covey Education Symposium Series, as well as other events related to the Education Practice. These events serve the purpose of both marketing Franklin Covey Education solutions to new prospects, as well as providing ongoing professional development opportunities for existing clients: http://www.theleaderinme.org/events/. We are seeking a person with a background in event production and/or project management, who is willing to take on responsibility for the successful production of our Symposium Series.

 

Key Tasks

Event Success Metrics
• Be prepared to discuss event success metrics during regularly scheduled review meetings with the Marketing team.
• Track and report weekly event planning efforts and duration to complete projects.
• Develop key tracking templates to ensure schedules and deadlines are met.

Event Planning
• Work with Education Team to develop Symposium content and thought leadership objectives
• Collect performance data from past events to help determine the best locations for events
• Work with Marketing to determine event themes and other branding elements
• Identify with client partners key space, marketing, and sponsorship partners in event areas

Partners Identification, Negotiation, and Management
• Identify and negotiate with space partners to host events
• Identify and negotiate with marketing awareness partners to promote the event
• Identify and negotiate with other sponsors and partners
• Serve as liaison with vendors on event-related matters.

Event Preparation and Logistics Coordination
• Coordinate across people and functions a number of projects and tasks
• Prepare signage, nametags, participant materials, notebooks, packages, gift bags, registration lists, seating cards, etc.
• Arrange food and beverage, order supplies and audiovisual equipment,
• Make travel arrangements for team
• Coordinate other event logistics including breakout sessions, school visits, bus schedules, etc.

Continuous Improvement
• Conduct follow up survey’s to ensure continuous improvement on future events.
• Create process for capturing and tracking leads.
• Continually seek opportunities to increase customer satisfaction and deepen key relationships.

Project Communication
• Work with the internal stakeholders to ensure understanding of expectations, deliverables, dependencies, risks and progress.
• Use sound judgment in all project communication and ensure that key stakeholders are informed.
• Establish and maintain a usable and well-communicated schedule for all phases of a project.
• Communicate project progress, expectations, timelines, milestones and other key project metrics to team members.

Project Administration
• Assist with preparing budgets and provide periodic progress reports to for each event project.
• Keep track of event finances including check requests, invoicing, and reporting.
• Prepare and modify event contracts as requested.
• Manages travel budgets and looks to inform best use of human resources to keep T&E low.
